Job Description
* Scheduling meetings/appointments and Calendar management
* Use outlook for reminders and tasks to ensure that all important matters and dates are highlighted.
* Doing follow-ups whenever required by coordinating with employees, guests, clients, vendors, service providers etc.
* Taking dictations, drafting letters and other official correspondence.
* Create, transcribe, and distribute meeting agendas and minutes.
* Booking and coordinating for travel, visa and hotel booking arrangements as and when required.
* Data Card/ SIM Card/Travel Insurance for Overseas Travel
* Attending, screening calls and relaying messages.
* Maintaining business contacts/ visiting card database in the system.
* Sending and receiving e-mails and responding proactively to the same.
* Assist in preparing correspondences, reports, and materials for publications and presentations, formatting the same and hyperlinking the required documents whenever required.
* Scan documents and convert them into appropriate files – pdf, text, ppt, word etc.
* Handling fax machine (Incoming & outgoing faxes)
* Perform general secretarial duties, which include but not limited to- photocopying, faxing, mailing, archiving, labeling and filing.
* Contributing productively by supporting the team members whenever required.
Secondary Responsibility
* Conference room and meeting room bookings; checking and maintaining the same before the meeting.
* Assisting in smooth functioning of the reception and to relieve the receptionist whenever required.
* To work for and all the tasks/duties assigned by the reporting manager and/or the management.
